Where your files go

Plain facts about where FileAI keeps your files, who processes them, and what happens when you delete something.

The short version

  • Your files are stored privately. They're never public, and other users can't see them.
  • To answer your questions, the text of your files is processed by OpenAI's API in the United States. OpenAI doesn't use API data to train its models, and your files are never used to train AI.
  • When you delete a file, a chat or your account, FileAI also deletes the copies held by OpenAI.
  • Website analytics (Google Analytics) never receive your documents, file names, questions or email address.

What OpenAI receives

When you upload a file, FileAI sends a copy to OpenAI so it can search the text. When you ask a question, OpenAI receives your question and the relevant parts of your files, and writes the answer. OpenAI keeps the files, search entries and conversations until FileAI deletes them. Under OpenAI's own API policy it may also keep request logs for up to 30 days to detect abuse. OpenAI does not use API data to train its models.

What happens when you delete something

  • A document: FileAI deletes the stored file, the copy at OpenAI and its search entry, and the citations that pointed to it.
  • A chat: FileAI deletes the conversation at OpenAI and the messages in FileAI.
  • Your account: all of the above for every document and chat, plus the searchable copy of your library at OpenAI and your account itself. You can do this from your account settings.

Deletion runs in the background and keeps retrying until every copy is confirmed gone. FileAI keeps a short record that a deletion happened (identifiers only, no content) for 90 days. Database backups expire on their normal schedule, and deleted data is never restored into the live service.

What is never shared

  • Your files are not sold, and not used for advertising.
  • Your files are never used to train AI, by FileAI or by OpenAI.
  • Analytics events are checked before they're sent, so document names, questions and email addresses are never included.

Sending information overseas

FileAI is run from Australia. Some of the providers above are overseas, so your information is disclosed outside Australia: OpenAI and Resend in the United States, Google Analytics in the United States and other countries, Stripe in Australia and overseas, and Tigris, which may store files in more than one region. These providers are not bound by the Australian Privacy Principles, and the laws of their countries apply (APP 8). We choose providers that commit to keeping data secure and not using it for their own purposes. By using FileAI you agree to this disclosure.
